APPENDIX B: JOB DESCRIPTIONS OF PROFESSIONAL ASSOCIATE POSITIONS

These job descriptions may be amended from time to time by the Employer after consultation with, and the approval of, the incumbent and the Union (such approval shall not be unreasonably withheld). Job descriptions for new positions shall be included in this Collective Agreement when they have been approved by the Employer and prior to candidate interviews.

B.1 Library Positions

These job descriptions are written in terms of library functions, which are:

  1. Administration--the overall management of library activities; may be viewed as having planning, staffing, organizing, directing, and controlling aspects; 
  2. Selection--choosing materials to be added to and removed from the collection;
  3. Acquisition--procuring selected materials;
  4. Cataloguing--preparing acquired materials for reference and bibliography;
  5. Processing--preparing catalogued materials for circulation;
  6. Reference--exploiting catalogued materials; 
  7. Bibliography--exploiting extant materials;
  8. Circulation--controlling catalogued materials;
  9. Maintenance--procuring and maintaining library equipment and furnishings;
  10. Supply--procuring and controlling consumable supplies;
  11. Systems analysis--analyzing library systems.

B. 1.1 Extension Librarian

Is responsible to the Head of Information Services for the provision of off-campus library services in support of the University's extension courses and courses offered by Inter-Universities North and First Year by Distance Education; and for other duties as may be assigned by the Head of Information Services.

B.1.2 Reference and Electronic Services Librarian

This position is responsible for

  1. co-ordinating and providing reference services, library instruction, tours and workshops,
  2. evaluating and developing the reference collection,
  3. assisting with the planning, development, and implementation of innovative electronic reference services,
  4. assisting in the development and maintenance of library systems,
  5. participating in the library management team,
  6. serving as a faculty liaison, 
  7. serving on library and university wide committees, and
  8. other professional duties as may be assigned by the University Librarian.

B.1.3 Cataloguer

This position is responsible for

  1. original and complex copy cataloguing of all formats and in all languages,
  2. maintaining the integrity and consistency of the cataloguing records,
  3. establishing cataloguing policies and procedures,
  4. participating in the library management team,
  5. serving on library and campus-wide committees, and
  6. other professional duties as may be assigned by the University Librarian.

B.1.4 Head, Automated Systems

Is responsible to the University Librarian for the operation of all computerized systems, including the modules of BU CAT and other applications of technology within the library; for initiating and implementing systems development; and for such other professional duties as the Librarian may assign.

B.1.5 Subject-Specialist Librarian

Is responsible to the Head of Information Services for the provision of reference service, for faculty liaison, for collection development, for bibliographic instruction and for such other professional duties as the Librarian may assign.

B.2 Student Services Positions

B.2.1 Counsellor

This position is responsible to the Dean of Students for providing counseling services and human development programs appropriate to the Brandon University community. This function may include tasks as follows:

  1. personal counseling,
  2. financial counseling,
  3. marriage and family counseling,
  4. crisis intervention,
  5. career and vocational counseling,
  6. academic counseling,
  7. group activities of a therapeutic and developmental nature,
  8. maintenance of appropriate records, and
  9. such other appropriate duties as may be assigned by the Dean of Student Services.

B.2.2 Learning Skills Specialist

This position is responsible to the Dean of Students. The positions may include duties as follows:

  1. consult with individual students and groups of students with regard to their learning skills needs,
  2. assess the learning skills needs of individual students and groups of students,
  3. develop, implement, evaluate, and revise programs to meet the learning skills needs of individual students and groups of students,
  4. design and develop programs which may involve cooperative endeavours with Faculty,
  5. engage in research activities related to professional development and educational programming, and
  6. perform such other appropriate duties as may be assigned by the Dean of Students.

B.2.3 Program specialist

This position may include duties as follows:

  1. develop university programs and materials to aid student success and retention,
  2. provide academic advising to new, returning and continuing students regarding admission and registration,
  3. collect appropriate statistics,
  4. participate in the development, production and evaluation of promotions of the University's academic programs, and
  5. such other appropriate duties as may be assigned by the Dean of Students.

B.3 Athletic Positions

B.3.1 Athletic Therapist

This position reports to the Athletic Director. The position may include duties as follows:

  1. normally teach nine (9) credit hours,
  2. supervise and control athletic therapy facility, including the Brandon University Sports Medicine Centre,
  3. evaluate, treat and rehabilitate injuries suffered by students, faculty and staff, and time permitting, community persons,
  4. attend all home intercollegiate athletic contests and attend to the needs of both home team and visiting teams as mandated by the Canada West University Athletic Association,
  5. order and maintain supplies and equipment for the athletic therapy facility/Sports Medicine Centre,
  6.  train and supervise student assistants,
  7. work in cooperation with medical practitioners and coaches in developing exercise and rehabilitation programs,
  8. aid in preparation of budget for athletic therapy area,
  9. order and maintain supplies and equipment for training room, and
  10. such other appropriate duties as may be assigned by the Athletic Director.

B.4 Project Positions

B.4.1 Centre Coordinator, B.U.N.T.E.P.

This position is responsible academically and administratively to the Dean of Education through the Director of B.U.N.T.E.P. Operationally responsible to the Director of B.U.N.T.E.P., Centre Coordinators are responsible to BUNTEP for a ten and a half (10 1/2) month work year.

I. Academic duties to include

  1. Course Instruction (9 credit hours where feasible),
  2. Field Experience Placements and Supervision,
  3. Tutorial requests,
  4. Assist in implementing Study Skills Program, and
  5. Assist students (in areas of expertise) with courses in progress. 

II. Administration duties to include
    Coordinating activities for the University in the Centre: 

  1. Student Program: 
  1. receive University and B.U.N.T.E.P. application forms,
  2. administer student registrations,
  3. maintain student records, and 
  4. ensure students complete Application for Graduation, check and initial. 

 

  1. Centre maintenance and supplies:
  1. maintain stock of consumable supplies,
  2. ensure maintenance of the physical center,
  3. develop and maintain an adequate centre library and related resource materials, and 
  4. maintain an inventory of equipment in the Centre.

 

  1. Provide academic and attendance reports to sponsoring agencies,
  2. Administer and account for the Trust Account,
  3. Centre meetings and reports:
  1. regular student meetings,
  2. regular centre Committee meetings,
  3. submit monthly reports of meetings and Centre activities to the Director, and 
  4. submit end of year center report to the Director, 

6. Assist in student recruitment as needed, and 

7. Provide support to travelling professors e.g. orientation to Centre, community, arrangements for local accommodation and travel; instructional support services (e.g. provision for A.V. equipment). 

III. Student Counselling (duties to include):

  1. Academic (Program G.P.A. etc.), and
  2. Personal and, when necessary, referral services. 

IV. Community Relations (duties to include):

  1. School
    Make arrangements for:
  1. Use of School facilities, and 
  2. Provide Inservices: in conjunction with the Field Services Coordinator for cooperating teachers prior to field experience. Assist in the provision of personnel for professional development inservices (requests to be forwarded to Field Services Coordinator), and 
  1. Liaise with Chief, Mayor, Council, School Principals and Area Superintendents.

B.4.2 Program and Education Development Coordinator, B.U.N.T.E.P.

This position is responsible academically and administratively to the Dean of Education through the Director of B.U.N.T.E.P. Operationally responsible to the Director of B.U.N.T.E.P.

I. Responsible for overall Program Planning and Implementation (duties to include):

  1. Modify teacher education program models and develop long-term delivery model,
  2. Receive course requests and recommendations from Centre Coordinators, and the Field Services Coordinator and plan annual course delivery,
  3. Provide Deans and Department Heads annually with the overall course schedule. Initiate all Project Course offering forms and processes through Faculties. Ensure they are received by the Registrar,
  4. Joint planning (with PENT) of on-campus spring and summer courses,
  5. Program modifications in collaboration with Centre Coordinators/Administrators, and 
  6. Initiate action, within policy guidelines on matters relating to the delivery of courses.

II. Students (duties to include):

  1. Resource to the Centres regarding each student's program,
  2. Assists on campus students with course planning and registration,
  3. Approves all registrations, course changes and voluntary withdrawals, 
  4. Coordinates and processes all tutorials and tutoring,
  5. Check student degree programs and applications for graduation and certification, and
  6. May teach up to one-half course.

B.4.3 Field Services Coordinator, B.U.N.T.E.P.

This position is responsible academically and administratively to the Dean of Education through the Director of B.U.N.T.E.P. Operationally responsible to the Director of B.U.N.T.E.P. and is a member of the Administrative Team.

I. Coordination of Field Services (duties to include):

  1. Survey northern communities regarding school populations and determine the need for teachers,
  2. Advise on possible location of BUNTEP Centres,
  3. With Student Affairs and Community Liaison Coordinator provide information workshops to communities: a) where centres exist, and, b) where centres have been requested,
  4. Advise communities of requirements in their proposal for a BUNTEP center and coordinate all information packages,
  5. Report and recommend on adequacy of proposed physical facilities for new centres and ongoing centers,
  6. Coordinate student recruitment, selection and orientation, 
  7. Provide workshops and support for new Centre Coordinators,
  8. Provide ongoing support to Centre Coordinators as deemed necessary or requested (e.g. tutorials, study skills, field experience),
  9. Provide support in monitoring student attendance and academic performance,
  10. Provide regular reporting: a) to the Administrative Team, and b) by submission of a monthly written report, to the Director, on center visits,
  11. Liaise with Superintendents of Education, Directors of Education, Education Authorities and community representatives, and
  12. May teach up to two (2) three-credit hour courses.

II. Coordination of Field Experience (duties to include):

  1. Coordinate with the Program Coordinator/Director, the time slots and faculty supervision for field experience,
  2. Arrange external Faculty Supervision when required,
  3. Visit classrooms in each centre, as required, when students are on field experience,
  4. Review field experience reports and attempt to resolve possible problems,
  5. Provide support services to faculty supervisors/ centre coordinators and students during the field experience sessions when required, 
  6. Ensure that grades are checked, signed and forwarded to the appropriate Department Chair,
  7. Ensure that Field Experience records are complete and current,
  8. Organize workshops on Field Experience for students, cooperating teachers, principals, and centre coordinators/ faculty supervisors when required,
  9. Coordinate with the Faculty of Education's Director of Field Experience, the development of: a) field experience support material; b) evaluation forms; c) criteria to be used with evaluation forms, and
  10. Advise the BUNTEP Administration on skills that should be added or enlarged upon in the methods courses.

B.4.4 Student Affairs and Community Liaison Coordinator, B.U.N.T.E.P.

This position is responsible academically and administratively to the Dean of Education through the Director of B.U.N.T.E.P. Operationally responsible to the Director of B.U.N.T.E.P and is a member of the Administrative Team.

I. Student Affairs (duties to include):

  1. Counsel students
  1. Personal problems; finances; family and other problems
  2. Visit student homes if feasible and/or when necessary,
  1. Advise sponsoring agencies when there are student special needs requests,
  2. Assist in conflict resolution affecting students,
  3. Assist and recommend regarding transfers of students wishing to take courses in other Centres, in conjunction with appropriate sponsoring agency,
  4. Be involved in student recruitment, assist with student applicant interviews in the community,
  5. In conjunction with Centre Coordinator, monitor student progress and attendance record and follow up as required, 
  6. Provide ongoing support to Centre Coordinators as deemed necessary or requested (e.g. tutorials, study skills, field experience),
  7. Provide regular reporting
  1. to the Administrative Team, and
  2. by submission of a monthly written report, to the Director, on centre visits,
  1. Initiate plans and make recommendations to the Administrative Team and/or Director, within policy guidelines, on student issues (attendance, requests for leave of absence, course completion),
  2. Represent student concerns to the administration and relevant sponsoring agencies, and
  3. Coordinate students on campus for spring/summer sessions, responsibilities to include:
  1. relocation/housing/daycare/recreation,
  2. transportation, and
  3. monitoring student progress and attendance, and
  1. May teach up to one three-credit hour course.

II. Community Liaison (duties to include):

  1. With the Program Coordinator and the Field Services Coordinator, interface with the community: 
  1. information workshops in the community
  2. facilitate communication between the centre and community,
  1. With the Field Services Coordinator visit communities that have requested a B.U.N.T.E.P. Centre:
  1. provide detailed information on the B.U.N.T.E.P. Program,
  2. collect pertinent data regarding the community and facilities, and
  3. make recommendations to the administration,
  1. Assist in the opening of a new centre:
  1.  introduce Centre Coordinator to community, and
  2. assist community in forming a Centre Advisory Committee,
  1. Liaise with sponsoring agencies and Post Secondary Education Counselors, and
  2. With Director, meet with community leaders where Centres will be phased out.

B.4.5 Director, Program for the Education of Native Teachers (PENT)

This position reports to the Dean of Education. This position may include duties as follows:

  1. Administration of the program, including daily operations and contractual agreements
  2. Recommending employment and termination of employment of all faculty and support staff in the program 
  3. Supervision of personnel; personnel relations within the program
  4. Developing and implementing operational policies/procedures
  5. Budget submissions and expenditures
  6. Program planning and delivery
  7. Supervision of field experience
  8. Liaison with government and its agencies, local agencies and authorities, and school officials and students
  9. Such other appropriate duties as assigned by the Dean of Education.

B.4.6 Technical Coordinator, Campus Manitoba (new)

B.5 Centre for Learning Technologies

This position reports to the Vice-President (Academic & Research) for the following:

  1. instructional design which facilitates the modification of on-site delivered courses to off-site delivery,
  2. field Brandon University distant student technological support,
  3. provide access and support for students/faculty engaged in the Brandon University FITness program (Fluency in Technology) as long as the program is active at Brandon University,
  4. provide technological conversion processes i.e. convert slides to a digitalized format; convert audio recording to digitalized CD ROM format,
  5. edit and consult with faculty regarding content and format potential for new courses to be developed for distanced delivery,
  6. keep abreast of new tools for use in learning technology and communicate these to faculty and arrange for tutorials in the use of new technological tools,
  7. keep abreast of upcoming conferences regarding technology and distance learning and communicate these to the faculty at large, and
  8. other related duties as may be assigned.

B.6 University Archivist

The University Archivist is responsible to the University Librarian and the Vice-President (Academic & Research) for the Administration, Acquisition, Cataloguing, Circulation, and Reference functions of the University Archives and for such other professional duties as may be assigned by the University Librarian and the Vice-President (Academic & Research).
