APPENDIX D: JOB DESCRIPTIONS ADMINISTRATIVE ASSOCIATE POSITIONS

These job descriptions may be amended from time to time by the Employer after consultation with, and the approval of, the incumbent and the Union (such approval shall not be unreasonably withheld). Job descriptions for new positions shall be included in this Collective Agreement when they have been approved by the Employer and prior to candidate interviews.

D.1 Student Services

D.1.1 Director of Admissions

This position is responsible to the Dean of Students. The position shall oversee the admission of all students to Brandon University. This position may include duties as follows:

  1. Train, supervise and advise staff in the Admissions office,
  2. Provide academic advising to new, returning and continuing students regarding admissions,
  3. Collect appropriate administrative and program statistics, and
  4. Such other appropriate duties as assigned by the Dean of Students.

D.1.2 Recruitment Officer

This position is responsible to the Dean of Students for overseeing the recruitment of University students. The position may include duties as follows:

  1. Participate in the development and delivery of a recruitment campaign that promotes Brandon University's academic programs and services to potential students and those identified as being influential in student decision making vis-à-vis choice of postsecondary institution,
  2. Provide academic advising to new students regarding admission and registration as required,
  3. Collect appropriate administrative and program statistics,
  4. Train and supervise student assistants as appropriate, and
  5. Such other appropriate duties as assigned by the Dean of Students.

D.1.3 Career Planning and Placement Officer

This position reports to the Dean of Students and is responsible for assisting students in finding employment and enhancing their job search skills while promoting the hiring of students to potential employers and encouraging employers to recruit on campus. The position may include duties as follows:

  1. Plan and organize events to assist students in making career choices,
  2. Conduct workshops to assist students in enhancing their job search skills,
  3. Provide individual consultation to students regarding career and employment concerns,
  4. Encourage and assist employers to recruit from campus,
  5. Produce promotional materials to advertise the services available to students,
  6. Procure promotional materials to inform potential employers about the university and it students,
  7. Serve as a resource to Faculties and Departments regarding the employment of their students, and
  8. Such other appropriate duties as may be assigned by the Dean of Students.

D.1.4 Coordinator of Indigenous Services

This position is responsible to the Dean of Students for the provision of services deemed to be appropriate for First Nations, Metis, and Inuit students. The position aims to enhance access to and success at Brandon University for these learners. The position may include tasks as follows:

  1. Coordinate the design, delivery and evaluation of services provided to the focus group,
  2. Plan and participate in programs and services in the areas of outreach, orientation, holistic and developmental advising, counseling and academic assistance,
  3. Provide information about and make referrals to appropriate resources both on and off campus,
  4. Liaise with and act as a resource person to staff, students and external agencies regarding First Nations Services,
  5. Promote cross-cultural programming, and
  6. Such other appropriate duties as assigned by the Dean of Students.

D.1.5 Advisor

This position reports to the Dean of Students. The position may include duties as follows:

  1. Participate in the development and implementation of pre-enrolment and on-going advising programs to assist students with academic, personal, social, vocational, and financial concerns,
  2. Provide information about and undertake referral counseling to appropriate resources both on and off campus,
  3. Serve as an advocate for students and groups of students,
  4. Participate in the development, maintenance, and assessment of student support systems and programs, and
  5. Perform such other duties as may be assigned by the Dean of Students.

D.1.6 Learning Skills Associate

These positions are responsible to the Dean of Students. These positions may include duties as follows:

  1. Provide individual and/or group assistance within limited areas of learning skills,
  2. Participate in the development and implementation of learning skills programs,
  3. Maintain appropriate records and statistics,
  4. Coordinate relevant programs within established procedural guidelines,
  5. Assist in the preparation of learning skills materials and administration of diagnostic tests, and
  6. Such other duties as may be assigned by the Dean of Students.

D.1.7 Writing Centre Associate

Works under the direction of the Learning Skills Specialist in the Writing Centre, and is administratively responsible to the Dean of Students. The position may include duties as follows:

  1. Providing individual and/or group assistance within limited areas of writing instruction,
  2. Participating in the development and implementation of Writing Centre Programs,
  3. Assisting in the preparation of writing skills instructional materials,
  4. Assisting in research activities related to Writing Centre programming,
  5. Maintaining appropriate Writing Centre records and statistics, and
  6. Such other duties as may be assigned by the Dean of Students.

D.2 Health Studies

D.2.3. Administrative Associate, Health Studies

This position reports to the Dean, School of Health Studies. The responsibilities of this position include the following activities:

  1. Receive and coordinate faculty and student requests for clinical placements,
  2. Negotiate and arrange clinical placement experiences where students can obtain learning opportunities appropriate to the curriculum objectives,
  3. Facilitate the signing and updating of clinical affiliation agreements,
  4. Maintain records of the clinical agreements,
  5. Act as a liaison between the School of Health Studies and clinical placements sites; mediates conflict situations between students and on-site preceptors,
  6. Coordinate an orientation to the Personal Health Information Act (PHIA) and the signing of Pledge of Confidentiality forms for all students,
  7. Investigate potential clinical placement opportunities,
  8. Coordinate the distribution and revisions of the clinical program manual for clinical placement sites,
  9. Facilitate the development and periodic review and revision of a standard student evaluation tool for use by all faculty and all on-site preceptors,
  10. Facilitate orientation/training sessions for preceptors,
  11. Coordinate annual recognition activities for preceptors and providers of clinical placements,
  12. Receives from on-site preceptors, at the intervals specified, evaluations of students in clinical placements, and
  13. Performs such other appropriate duties as may be assigned by the Dean and/or Department.

D.3 Projects

D.3.1 Administrative Associate, BUNTEP

Responsible to the Director of BUNTEP, the duties include:

  1. Assisting in long-term planning of the Program through data collection and documentation,
  2. Overall supervision of computer equipment, maintenance and recommendation for changes to the computer program,
  3. Preparation of statistical information relating to students and of quarterly statistical reports for Council on Post Secondary Education (COPSE),
  4. Assisting in the on-going operation of B.U.N.T.E.P. as required by the Director,
  5. Record individual student costs (tuition and textbooks) and prepare invoice for billing sponsoring agencies, and
  6. Other appropriate duties as may be assigned by the Director.

D.3.2 Site Coordinator , Campus Manitoba

This position reports to the Director, Campus Manitoba. The position is responsible for the administration of local Campus Manitoba centers and may include duties as follows:

  1. Coordinate university activities at the local Campus Manitoba centre including assisting students with application and registration procedures, collection of fees, and selling of textbooks,
  2. Manage learning and instructional technologies at Campus Manitoba sites, including training and ongoing support of students,
  3. Student advising and support in the area of course selection, learning and library skills, and identification of tutors,
  4. Liaise with local Campus Manitoba advisory committee and local community members,
  5. Promote the Campus Manitoba program and recruitment of students as needed,
  6. Administration of the centre including ordering of supplies and maintenance of an inventory of equipment, 
  7. Attend Campus Manitoba coordinator meetings and submit centre reports as required, and
  8. Such other appropriate duties as assigned by the Director, Campus Manitoba.

D.3.4 Prior Learning Assessment and Recognition (PLAR) Facilitator, Student Services

This position reports to the Dean of Students. This position is responsible to facilitate the establishment of PLAR as an integrated element of university services to students and the public, and may include duties as follows:

  1. Work with appropriate academic and administrative bodies and develop short, medium, and long-range plans for the integration of PLAR
  2. Develop policies and procedures for the recognition and accreditation of prior learning as a routine part of the delivery and operation of programs 
  3. Organize PLAR training and professional development events for faculty and staff
  4. Develop a library of PLAR resources and materials
  5. Facilitate awareness and understanding of PLAR philosophy and practice among faculty and students
  6. Develop evaluation measures for PLAR processes and policies, and
  7. Such other appropriate duties as assigned by the Dean of Students.

D.3.5 Prior Learning Assessment and Recognition (PLAR) Advisor, Student Services

This position reports to the Dean of Students. This position is responsible to facilitate the establishment of PLAR as an integrated element of university services to students and the public, and may include duties as follows:

  1. Work in conjunction with the PLAR Facilitator and assist students and potential students to understand prior learning assessment policies and procedures and to identify and demonstrate the learning skills and abilities relevant to courses and programs
  2. Provide on-going support to learners seeking prior learning assessment
  3. Assist in the development and delivery of PLAR training events for students and faculty
  4. Assist in the production of promotional materials
  5. Along with the PLAR Facilitator, identify and undertake such other activities as are appropriate to the integration of PLAR into university services and policies, and
  6. Such other appropriate duties as assigned by the Dean of Students.
